We are a dedicated ABA therapy provider offering individualized, evidence-based services for children with autism and other developmental disorders. We pride ourselves on creating a warm, supportive, and professional environment for both our clients and our office team.
We are looking for an experienced, motivated and upbeat Office Manger to support our growing team in a fast-paced office setting. This full-time role is perfect for someone whos eager to jump in, take initiative, and help keep our operations on track with professionalism and care.
The Office Manager plays a key role in maintaining smooth daily operations of our office, supporting both administrative and clinical staff, and ensuring an organized experience. This individual must be proactive, detail-oriented, and comfortable working in a setting that requires confidentiality and sensitivity.
Key Responsibilities:
• Oversee daily office operations to ensure efficiency and professionalism. This includes:
• Intake process and referrals
• Continued authorization process
• Credentialing, billing and collections, payment posting
• Quality Assurance
• Coordinate with directors and clinical team members
• Assist the Executive Administrator with various projects and administrative tasks
• Handle communication with warmth and professionalism
• Oversee and manage patient records and documentation in accordance with HIPAA regulations
• Maintain office supplies and manage vendor relationships
• Coordinate office events, meetings, and team-building activities
• Monitor and manage office budgets and expenses
• Ensure the office complies with health and safety regulations
What You Bring to the Team:
• 2+ years of office management, healthcare administrative experience, or similar role
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite, Google Workspace, and general office software
• Ability to multitask and prioritize tasks in a fast-paced environment
• High level of discretion with confidential information
Additional Skills:
• Experience in ABA a plus
• Bilingual in Spanish is a plus but not required
Hours:
• 40+ hours per week
