Job Overview

Koala ABA & Learning Centers is dedicated to providing high-quality, compassionate services to children and families. Our multidisciplinary team works collaboratively to coordinate ABA therapy, speech therapy, occupational therapy, and educational support services. We are seeking an organized, reliable, and professional Scheduler / Administrative Coordinator to join our team.

Position Overview

The Scheduler / Administrative Coordinator is responsible for coordinating client and staff schedules, communicating with families and providers, and supporting the daily operations of the center. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and able to communicate professionally in a fast-paced environment.

Key Responsibilities
• Create, update, and maintain client and provider schedules
• Coordinate ABA, speech therapy, occupational therapy, and evaluation appointments
• Communicate schedule changes, cancellations, and coverage needs with families and staff
• Confirm appointments and follow up with families as needed
• Assist with identifying coverage when team members are absent
• Maintain accurate scheduling records and update internal systems promptly
• Collaborate with clinical, administrative, and staffing team members
• Respond professionally to phone calls, emails, and messages
• Protect client confidentiality and follow HIPAA requirements
• Provide additional administrative support as needed

Qualifications
• High school diploma or equivalent required
• Previous experience in scheduling, customer service, healthcare administration, or office support preferred
• Strong organizational and time-management skills
• Ability to multitask and handle schedule changes efficiently
• Excellent communication and interpersonal skills
• Basic computer skills and the ability to learn scheduling systems
• Professional, dependable, and solution-focused attitude
• Experience working in an ABA, therapy, medical, or pediatric setting is a plus
• Bilingual English and Spanish is preferred

Schedule
• Full-time position
• Monday through Friday
• 10:30 a.m. to 7:00 p.m.

Compensation
• $17.00 per hour
