Qualifications

  • EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience)
  • Supervisor, Warehouse Management: Requires a bachelor’s (or equivalency) + 2 years of directly related work experience or a master’s (or equivalency) degree
  • Qualifications/Work Experience
  • Three years of warehousing experience
  • A familiarity with accounting procedures and automated inventory control procedures
  • A demonstrated verbal and written communications skills
  • The ability to regularly move or manipulate heavy objects
  • A commitment to provide excellent customer service
  • This position may require the successful completion of a criminal background check and/or drug screen

Responsibilities

  • FLSA Code Administrative
  • Monday-Friday 8:00am to 5:00pm
  • During opening (mid-August) and closing periods (early-May), this person will need to support department efforts with possible weekend and evening coverage
  • The Warehouse Coordinator is a supervisory position that reports to the Assistant Director of Contract and Project Management
  • Direct reports include two store keepers and a varying number of seasonal help and temporary labor
  • Procures materials and equipment needed by Maintenance shop and Assistant Director of Contract and Project Management to maintain and repair University buildings and equipment
  • Locates sources of supply and makes arrangements for the delivery, coordination and expediting of purchases made through the Purchasing Department
  • Utilizes Computerized Maintenance Management System to track and maintain physical inventory, historic records of products and tracking requisition information
  • Utilizes computer programs to track spending and inform budget projections

  • Reviews work orders from shops for specifications and quantities of materials requested and determines appropriate sources of supply
  • Oversees the preparation of and is responsible for the accuracy of all operating inventory, attic stock (i.e
  • Products for future/current projects, furniture inventory), Optional services inventory, and satellite warehouses
  • Assist in purchase requisitions issued through UShop on behalf of the Maintenance, Custodial and Project Coordinator when needed
  • Utilizes a CMMS to keep and maintain current catalogs, price lists and source information on defined products and materials in order to provide the shops with up-to-date and accurate information
  • Meets with salespersons to obtain information regarding products, prices and deliveries to maintain knowledge of products and services available from specific sources
  • Researches catalogs, on-line sources and works with vendors to identify substitutions or updated information on obsolete materials or equipment
  • Notifies Maintenance of the results of the research
  • Oversees the maintenance of records on procurement activity throughout the year and the generation of requested reports on an as needed basis
  • Acts as liaison between the shops and Purchasing Department to resolve problems arising from damaged merchandise, incomplete orders, merchandise shipped in error, or merchandise received not meeting the shop’s expectations
  • Insures that appropriate materials in sufficient quantities are on hand in order for shops to complete outstanding work orders
  • Maintains a coordinating liaison relationship between the Maintenance shop and Purchasing for materials being procured
  • Provides accurate and timely information to shop supervisors to allow for informed decision making
  • Supervises Warehouse team members in day-to-day operations; which include but are not limited to physical inventory count, cleaning and organization, receiving and stocking shipments, issuing products to maintenance team members, and coordinating issuing
  • Track and maintain Facilities department capitol/non-capitol equipment lists
  • Works with University Surplus to retiring equipment that has reached the end of its useful life
  • Regularly review budget/s for variances
  • Works with Assistant Director of Facilities Projects to project current fiscal year spending trends
  • Works with Facilities Data Analyst to maintain accurate information and utilization of Warehouse materials tracking software
  • The most frequent problems associated with this position include dealing with Maintenance shop supervisors and Technicians on out of date names or part numbers for materials needed to complete a specific project
