Job Summary The ABA Scheduling Administrator is responsible for coordinating and managing client and staff schedules to support efficient clinic operations, maximize billable hours, and maintain continuity of care. This role works closely with BCBAs, leadership, and direct care staff to ensure scheduling accuracy, operational efficiency, communication compliance, and overall clinic productivity. The Scheduling Administrator also assists with administrative operations, staffing coordination, and client support functions to help promote clinic growth and quality service delivery.
ResponsibilitiesScheduling & Client Coordination
• Manage and maintain client and staff schedules to maximize productivity, attendance, and billable hours
• Coordinate schedule changes, staff coverage, cancellations, and client make-up sessions
• Communicate scheduling updates or service changes with families and staff in a timely and professional manner
• Monitor daily staffing ratios and assist with schedule optimization based on clinic census and operational needs
• Serve as scheduling support for staff call-outs, absences, and coverage gaps
• Assist with tracking client attendance, utilization, and schedule consistency
• Coordinate with BCBAs and leadership regarding staffing needs and client scheduling concerns
Administrative & Operational Duties
• Ensure accuracy and completion of scheduling documentation and electronic records within systems such as CentralReach
• Assist with maintaining compliance-related documentation and operational tracking logs
• Coordinate communication between departments including clinical, billing, HR, and operations teams
• Support clinic organization, supply tracking, and general administrative needs
• Assist with incident report tracking and follow-up communication as needed
• Help maintain clinic operational standards, safety procedures, and daily workflow efficiency
• Support front office and administrative operations as needed
Staff Support Duties
• Assist with onboarding coordination and schedule setup for new staff
• Support direct care staff with schedule-related questions and concerns
• Participate in staff meetings and operational planning discussions
• Promote professionalism, accountability, and effective communication among team members
• Collaborate with Clinical Directors and leadership to support staffing efficiency and clinic growth
Requirements
• Associate’s Degree in Business, Healthcare Administration, or related field required; Bachelor’s Degree preferred
• Minimum of 2–3 years of administrative, scheduling, or operations experience preferred
• Experience within the ABA, healthcare, or behavioral health field strongly preferred
• Proficiency with technology platforms including CentralReach and Microsoft Office applications
• Strong organizational, multitasking, and communication skills
• Ability to work in a fast-paced clinical environment and adapt to changing schedules
• RBT certification preferred but not required
• CPR/First Aid certification preferred
• Maintain the highest standards of professionalism, confidentiality, and customer service
