About Us

Spectrum Solutions Therapy is an ABA therapy clinic in Bellflower, CA serving children with autism and developmental disabilities. We have approximately 35 staff members and run morning and afternoon sessions Monday through Friday.

We're in an active growth phase - building out the systems and workflows that will allow our team to operate efficiently as we scale. The person stepping into this role will be part of that build, not just maintaining what exists.

About the Role

We're looking for an Office Manager to keep the clinic running smoothly day to day. You'll oversee our scheduling coordinator, serve as the operational point of contact for staff and parents, and work with leadership to systematize how we operate.

Our current Office Manager is transitioning out and will stay on to train and overlap with whoever comes in - this is an intentional handoff, not a cold start. You'll have time to learn the systems, the staff, and the clinic before taking full ownership.

What You'll Do
• Run a daily morning operational review - verify schedules, coverage, and flag anything that needs immediate attention
• Oversee the scheduling coordinator and ensure daily clinic operations run on time
• Manage the client intake audit gate - verify all documentation is complete before a client's first session begins
• Monitor staff attendance and session completion patterns; conduct coaching conversations and issue corrective documentation as needed
• Coordinate supply purchasing and inventory management
• Serve as the operational point of contact for parents on non-clinical questions
• Maintain clinic records in compliance with HIPAA guidelines
• Support new hire onboarding and orientation

What We're Looking For
• 2+ years of office administration, coordinator, or similar experience
• Strong organizational skills and comfort with Google Workspace and digital tools
• Clear, professional communicator in writing and in person
• Able to manage competing priorities in a fast-moving environment
• Comfortable stepping into a role that is still being built - you'll be documenting and improving processes as you learn them
• Experience in a medical, clinical, or behavioral health setting is a plus but not required

Schedule

Monday through Friday, 9:00 AM - 6:00 PM with a one-hour lunch. No weekends.

Compensation

$20.00 - $26.00 per hour, depending on experience
