The Utilization Specialist is responsible for maximizing the delivery of authorized client hours through real-time schedule management, cancellation recovery, and data-driven utilization analysis. This role serves as the operational link between clinical teams and client families to ensure that every available session opportunity is captured and that scheduling barriers are resolved quickly and professionally.
Essential Functions
• Monitor daily session activity, track cancellations in real time, and take immediate action to recover lost session opportunities.
• Analyze daily and weekly utilization data to identify patterns, flag unique trends, and recommend makeup windows.
• Communicate directly with clients to reschedule sessions, confirm availability, and resolve scheduling barriers with empathy and professionalism.
• Partner with clinical personnel to align session schedules with treatment goals and authorization limits.
• Contact technicians to fill open session slots and coordinate real-time schedule changes across active caseloads.
• Produce daily and weekly utilization reports, surfacing trends and actionable insights for the operations and clinical teams.
• Maintain accurate records of all scheduling activity, communications, and outcomes in the company's practice management system.
• Identify and escalate systemic scheduling issues or utilization risks to leadership with recommended solutions.
Required Skills/Abilities
• Conscientious and detail-driven. You take ownership of your work and follow through without being reminded.
• Strong verbal communication skills with a warm, professional phone presence; able to build trust with clients and colleagues quickly.
• Analytical mindset. Comfortable interpreting scheduling and utilization data to spot problems and opportunities.
• Thrives under pressure. Able to manage a high volume of real-time schedule changes without sacrificing accuracy.
• Proactive problem-solver who anticipates issues before they escalate.
• Proficient with Microsoft Office Suite, particularly Microsoft Excel; experience with EHR or practice management platforms is a plus.
• Maintains strict confidentiality in accordance with HIPAA regulations and company policy.
Experience and Education
• 1-3 years of experience in a patient-facing healthcare role such as intake coordination, patient onboarding, care coordination, medical scheduling, or clinical operations support.
• Associate's degree or higher in a healthcare-related field, or an equivalent combination of education and hands-on experience.
• Background in behavioral health, pharmacy operations, or healthcare services settings is a plus but not required.
Work Environment, Physical Conditions
• Ability to work in a fast-paced environment.
• Ability to work 40 hours per week.
• Ability to work cooperatively with others.
• Must comply with practice policies and procedures.
• Requires daily in-office work. Does not meet the requirements of regular telecommuting.
• Physical activities include sitting for long periods of time, walking, bending, kneeling.
• Must be able to reach, pull, and push.
• Requires manual dexterity, auditory and visual skills.
• Ability to lift to 15 lbs.
Salary: $65,000
