Key Responsibilities
• Greet and check in participants; verify attendance and maintain daily census.
• Manage intake paperwork, release forms, consents, and client records in compliance with confidentiality (HIPAA) and program policies.
• Answer phones, respond to inquiries, coordinate referrals and intake scheduling with clinical team and external providers.
• Maintain program supplies, materials, and treatment spaces; set up rooms for groups and activities.
• Track and document client progress notes, incident reports, and service logs per program protocols; assist with data entry and outcome tracking.
• Support group facilitators and clinicians during sessions (e.g., session sign-ins, handouts, role logistics).
• Monitor participant safety; report changes in client status immediately to clinical staff; assist in de-escalation under supervision and follow crisis protocols.
• Assist with discharge planning, community resource referrals, and coordination of aftercare.
• Prepare and distribute participant schedules, calendars, and communications to families/caregivers as appropriate.
• Participate in staff meetings, training, and quality improvement initiatives; maintain compliance with mandated trainings (e.g., CPR/First Aid, CPI/safe crisis intervention).
• Perform other administrative and program support tasks as assigned
Qualifications
• 1-2 years' experience working in mental health, substance use, social services, or health care settings.
• Strong administrative skills: phone/email etiquette, scheduling, record-keeping, basic data entry.
• Knowledge of confidentiality and HIPAA principles.
• Excellent interpersonal skills, cultural competence, and ability to work collaboratively with diverse clients and multidisciplinary teams.
• Ability to remain calm in crisis situations and follow protocols.
• Proficiency with standard office software (MS Office, email) and willingness to learn electronic health record systems.

The salary range represents the low and high end of the salary someone in this role may earn as an employee of Help Group. Salaries will vary based on various factors, including but not limited to, professional and academic experience, certification, training, responsibilities of the position, and other business and organizational needs.
